On opening cases of nails and screws, we find that none of the quantities, size or shapes corresponds with our order dated ______, nor do they correspond with the invoice sent by you with your letter dated [date].  Evidently, you have sent us wrong goods which have caused us great inconvenience as we do not deal with this line of goods at all. We, therefore, request you to please wire us immediately and let us know when we may expect the correct goods. Meanwhile, we are holding this consignment with us.

We deeply regret to find that owing to a clerical mistake in our packing department the wrong goods have been sent to you. We assure you that such a thing has never happened to us in whole of our 18 years’ experience, as the utmost care is always taken, and it occurred now only by reason of a figure being misread by a new clerk who writes out the packing orders and, moreover, the total quantities happened to be the same, although the assortment and sizes were different.

We may reassure you that such a thing is not likely to happen again and we sincerely apologize for any inconvenience caused to you. We have dispatched the correct goods today and have instructed our agent in New York to see you and collect the wrong goods. Please debit our account at any expense you have incurred in connection with this consignment and deduct the amount while making payment of the bill for correct goods.

2.Complaint Regarding Damaged Goods Asking For Necessary Credit.

We thank you for the consignment of cups received against our order no. ___________ dated ___________. We are much obliged for the prompt supply of goods. However, on opening the parcels, we find that as many as 15 cups are in damaged condition and hence they are not saleable here. While we shall be returning these glasses in due course, we request you to please credit the amount of 15 cups to our account.

Dear Sir,

We thank you for your letter dated the _______________. The consignment of cups was sent as per instructions contained in your order no ______________, ordinary packing. As intimated earlier, goods under ordinary packing are sometimes liable to be damaged owing to mishandling by railway people and as such we have always suggested our customers have goods in a special packing of wooden cases. It costs a little more than ordinary packing but the chances of damaging the goods are minimized. Although we are not liable to pay any such damages to you, we would, however, suggest you that you may please send us those fifteen cups and we shall get the same repaired at our cost this time. We may add here that we shall not entertain any such claim in future unless the goods are procured under special packing of wooden cases.

As the goods are covered for this risk under policy referred to above, we request you to please reimburse us for $12000.00 insured value of the goods. The goods are lying in our warehouse and the necessary damage was a show to transport authorities who noted down in the records for any inquiry you might like to make from them.
